Job Description
Position: Administrative Assistant (fluently bilingual English/French) Location: Ottawa Remote – requirement of in-person meetings every two weeks Work schedule: Preference 4 days per week (30 hours), 8 am to 4 pm Perks: Competitive salary inclusive of group benefits, generous RRSP contribution and three weeks’ vacation. Join a Small, Dynamic Team Within a National Association Our client is looking for a proactive, detailed Administrative Assistant to support the President and CEO. This is a great opportunity to be part of a small, collaborative team while contributing to the association's administrative, communication, and marketing efforts. This key role provides general administrative support; therefore proficiency using programs such as CANVA, Mail Chimp, Survey Monkey is a must. Responsibilities include: - Organize, maintain, update files, maintain a joint shared schedule in Outlook. - Respond to general email and phone calls. - Assist with organizing and/or digitizing and archiving documents. - Organize the day-to-day activities to ensure efficient and effective operations. - Schedule meetings with members, affiliate members and partners. - Provide administrative support, format documents, presentations using various software programs. - Support registration and plan meetings and the annual conference. - Communicate with members in English and French. - Update the membership directory ensuring accuracy of information /emails for Mailchimp. - Track membership, credit card payments and record weekly. - Assist with the annual audit. - Support communications as needed, update website. Qualifications: - Post-secondary education, a minimum of three to five years of work experience in an administrative setting. - Excellent written and oral communication skills in English and French is a must. - Demonstrated knowledge of general administrative office procedures and functions. - Expertise with Microsoft 365 (Word, Excel, PowerPoint, Outlook). - Knowledge in Doodle, Survey Monkey, MailChimp, Canva, SimpleBooklet, OneDrive (or similar software) is must. - Familiar with the not-for-profit sector is an asset. - Excellent time management skills to meet competing deadlines. - Meticulous, enjoy working within a small collaborative team.
