Location: Farnham, Surrey Salary: £25,000 - £30,000 FTE Hours: 10 - 15 hours per week Job Type: Part time Contract Type: Permanent About Us: affinity landscapes Ltd is an independently owned landscaping company dedicated to serving our client base, across South East England, for over 20 years. What we’re looking for… We are looking for a highly organised and self-motivated Office Administrator to join our team on the outskirts of Farnham. You will play a key role in supporting the day-to-day operations and projects within the business and be responsible for handling various tasks from customer communication to collating data for payroll preparation. The ideal candidate will be detail-oriented, a problem-solver, IT literate and comfortable working independently. The role is based in our office near Farnham, this is a part-time role, suiting someone that is looking for some flexibility with working hours (10-15 per week) – possible Tuesday – Thursday 9am – 1pm. Key Responsibilities: Maintaining office files; digitally & physically Preparing documents, contracts, proposals, and presentations as required Downloading bills from suppliers for our accounts. Assisting with ad hoc marketing efforts, including social media and mailings Monthly collation of timesheet data for Director to submit payroll Administering staff membership of healthcare scheme Supporting the Director in responding to phone calls, emails and letters from current and prospective clients and suppliers in a prompt and professional manner Assisting with client invoicing, including preparation and issue of some invoices Following up on outstanding invoices Providing ad hoc project support including data entry, reporting and record keeping Overseeing the company website, ensuring it is kept up to date. Monitoring office supplies and ensuring office equipment is properly maintained Keeping the office environment clean, organised and functioning smoothly Preferred Skills & Experience Proven experience in an administrative or office support role, ideally in a service-based industry like landscaping, construction, or similar Strong organisational and time-management skills with the ability to multi-task and prioritise tasks Excellent verbal and written communication skills A proactive attitude, with a strong ability to problem-solve and work independently.
