Job Description

Personal / Executive Assistant to the Founder (joint Creative Director/Managing Director) at Rebecca Udall, a luxury homeware brand. We have experienced consistent strong growth and as such this is a new role. We are looking for someone to support the Founder and business, to be a part of our ambitious and creative team in the next stage of growth. You will work directly with Rebecca while also being part of the wider team and as such will be involved and exposed to a lot of different projects and exposed to a lot. This role will be pivotal within the business; the successful candidate will be a key driver to the culture of the business. The business culture is creative, professional, relatively fast-paced yet organised, positive and supportive. The team current sits at 20 but growing. As a luxury brand, the importance of excellent attention to detail, getting things right first time and being highly customer centric are very important. The role will be office based at our newly decorated and on-brand Head Office in Malton. Preferred as a full time role, however for the right candidate a part-time role from 30 hours a week over a minimum of 4 days a week can be considered. Rebecca Udall is a digitally-native luxury homeware brand, launched in 2019, specialising in fine linens and artisan homeware, shipping internationally with a loyal customer base. Rebecca started the business in 2018 aged 25 having worked at Burberry, amongst various other well known, large UK retailers. Duties Manage and maintain schedules, including diary and travel arrangements Attend key internal and external meetings as required, take minutes and circulate to attendees. Add tasks to digital to do list. This will across a wide range of business departments - design, marketing, operations, buying & eCommerce Prepare and organise documents, reports and presentations as required Handle incoming calls with professionalism, demonstrating excellent phone etiquette. Ability to direct calls appropriately to a suitable team member Play a vital role contributing to the productivity and efficiency in the business Assist in financial record-keeping for expense management (we use digital tools to automate this process) Supporting Founder with ad-hoc projects Diary and project management of Founder Support various administrative functions as needed to ensure the smooth running of the office Support with HR admin such as policy updates and communication Email management of Founder – summarise inbox, flag important messages, delegate to other team members where possible, replying to emails where appropriate Systems support & application management – eg ensuring software is up to date & keep track of passwords Organisation of team social events, gifts, thank you notes and similar Other ad-hoc support to the Founder Collating creative inspiration and other Requirements At least 3 years admin/office experience at a mid-senior level or previous PA / executive assistant experience Excellent proficiency in Microsoft office Driving license & car (driving not expected to fulfil role daily but time to time there may be ad-hoc tasks requiring a car - mileage covered) As a business, we are 'digital first' and utilise software as much as we can to aid communication and business efficiency such as Asana, Cloud HR software, similar. You should be technically savvy and happy using such tools to be operationally efficient. No previous experience required but an affinity to use such tools required Exceptionally organised with the ability to prioritise tasks effectively Professional – sensitive and diplomatic. You will be relied on to maintain a high level of professionalism in interactions with colleagues and other stakeholders Demonstrated ability to communicate clearly and professionally, both verbally and in writing Passion for creative/interiors sector Previous experience in a similar role with a Founder owned business would be ideal A proactive attitude with a willingness to learn and adapt in a fast-paced environment Attributes Uses initiative Fast learner Adaptable and resilient Highly computer literate as we are a digital business Highly motivated Tenacious Eye for detail Positive
