Job Description
Finance Assistant (Approx £25,000pa – Pro Rata) Position Overview: The Finance Assistant plays a key role in supporting the finance function by performing a variety of essential accounting and financial tasks. This role is ideal for someone with strong attention to detail and an interest in financial management. The Finance Assistant will assist with daily financial operations, including processing invoices, maintaining financial records, managing payroll data, and supporting month-end and year-end closing procedures. The role offers growth opportunities for those looking to develop their skills in accounting and finance. Key Responsibilities: o Accounts Payable and Receivable: o Assist in processing and tracking invoices, ensuring they are accurate and paid in a timely manner. This involved ensuring the invoices are flowing correctly through from the CRM system to the stock management system and then into the accounting system. o Prepare and verify purchase orders and receipts to ensure proper documentation. o Manage and update accounts receivable records, ensuring accurate and timely invoicing to clients. o Follow up on overdue payments and communicate with clients to resolve payment issues. o Financial Record Maintenance: o Assist in maintaining accurate financial records, including journal entries, expense reports, and bank reconciliations. o Prepare monthly reconciliations for general ledger accounts and assist in balancing financial records. o Organise and file financial documentation in accordance with company policies and audit requirements. o Review staff expenses to ensure they are processed within company policies. o Month-End and Year-End Support: o Assist the finance function with month-end and year-end closing procedures, ensuring that all financial transactions are recorded accurately. o Help prepare financial statements, reports, and schedules required for internal and external audits. o Assist with financial data preparation for budgeting and forecasting processes. o Bank and Cash Management: o Assist in reconciling daily bank statements and updating cash flow records. o Support in managing the company’s cash position, ensuring sufficient liquidity for daily operations. o Prepare cash flow reports and assist in monitoring payment schedules. o Tax and Compliance Assistance: o Assist in maintaining accurate records for tax purposes and ensuring compliance with tax filings, including VAT and payroll taxes. o Help prepare documents for tax returns and ensure that all required filings are completed in a timely manner. o Support in maintaining up-to-date knowledge of changes in tax laws and regulations. o General Financial Administration: o Support with ad-hoc financial tasks, analysis, and reporting as needed. o Provide administrative support to the finance department, including managing calendars, scheduling meetings, and coordinating communications. o Assist with the preparation of financial reports and presentations for senior management. o Arrange and book travel accommodation, including hotels, hire vehicles, flights & train tickets for staff and business trips. Ensure all travel logistics are efficiently organised to support team members' needs during business travel. o Continuous Improvement: o Assist in identifying areas for improvement within the finance department and contribute to streamlining processes. o Help implement new systems or tools to improve financial reporting, invoicing, and payment processing. Skills & Qualifications: Part-qualified AAT or similar accounting qualification Minimum of 1-2 years of experience in finance or accounting, preferably in a support role. Basic knowledge of accounting principles and financial reporting. Proficient in Microsoft Excel and accounting software (e.g., Xero, Hubdoc, Unleashed, Prospect CRM). Strong attention to detail and organisational skills. Ability to handle confidential financial data with integrity. Good communication skills and ability to collaborate with other departments. Willingness to learn and grow within the finance department. Ability to work effectively under pressure and meet deadlines. Work Environment: Part-time (approx 20 hours per week spread over 4 or 5 days), office-based position (may involve occasional remote work)
