Job Description

After a busy and successful start to the year here at Long O Donnell, we are looking for a Office Manager to create, develop, and nurture a people culture across the business in line with our business needs.

Key Responsibilities (Office Manager):

  • Dealing with the escalation of employee queries professionally and courteously over the phone, email and on a face-to-face basis.
  • Dealing with escalation for line managers with HR queries as required.
  • Developing, management and controlling employee and subcontractor T&Cs and variation letters as appropriate for UK and Irish employees /subcontractors.
  • Oversight of the on-boarding / exit process of any new starter (Staff or Subcontractor).
  • Oversight of the Roles and Responsibilities documents for each staff member and subcontractor.
  • Oversight of the HR registers including training plans and holiday registers.
  • Management and control of all personnel files.
  • Control of all appraisal cycles.
  • Control of all PPE requirements.
  • Managing external HR services providers to always ensure legal compliance.
  • Developing, managing, and organising training and development requirements Including develops newsletters/factsheets/activities for the agreed topics, distribute and monitor responses.

Key Responsibilities (IMS):

  • Oversight of project briefing and weekly lookahead requirements and approvals
  • Maintain and ensuring that the following are kept up to date and accurate.
  • Framework Management Plan
  • Contract Management Plan
  • Monitoring and Measuring Dashboard
  • Corrective and Preventative actions
  • System Reviews and audits
  • Communication and Consultation
  • Legislation Plan
  • IT Register
  • Equipment Register
  • Vehicle Register
  • External audits
  • Internal audits
  • Maintain the System Findings Register to ensure it is up to date and accurate.

General Responsibilities:

  • Successfully work as part of an integrated member of a multi-disciplined team
  • Complete tasks in a timely manner to a high standard of quality
  • Maintain accurate logs of personal CPD and provide evidence as required
  • Support/train junior members of the team as required
  • Complete accurate Lookaheads and submit them in a timely manner on a weekly basis
  • Complete accurate Timesheets and submit them in a timely manner monthly
  • GDPR compliance
  • Preparing, leading, hosting, facilitating and participation at meetings as required
  • Management of and provide cover as required.
