Job Description

We are recruiting an exceptional Part Time Receptionist to provide Front of House services with enthusiasm, flair and total professionalism within a prestigious production facility in Rosebank, Livingston. (NB as there is limited public transport, it is likely that you will need your own transport)





You will be working two days, and you must have flexibility to cover additional ad hoc days when the other receptionist is on holiday. Although you will be working on your own you will be supported closely by the Estates and Workplace team on site.





Hours of work are 8.30am – 5pm Mondays to Thursday, 8.30am – 4pm on Fridays





Paid hours are 16.

5 Development and training for the specific role with one to one and online courses available to suit individual career development requirements. Training will be provided prior to Christmas with a view to starting in the New Year.













The job role is wide and varied and includes:





Providing a friendly and welcoming environment for visitors and contractors Providing a smooth and consistent service for all staff visitors and contractors Administering and controlling signing in/signing out slips for all visitors/contractors Providing visitors and contractors with Door Entry Cards when required Issuing temporary door entry cards to staff when required and making the new door access cards for staff& new starts. Liaising with hosts when visitors arrive on site Following company covid rules if appropriate Answering the telephone in a professional and courteous manner, and directing calls appropriately using the Audiocodes telephone system Ensuring Reception Area is kept clean and tidy at all times Issuing keys for the site and keeping a record of them Taking delivery of packages for the company and employees, and logging and distributing accordingly Arranging taxis for visitors and staff as required Arranging courier collections as required Opening mail and preparing mail for daily collection by Royal Mail Scanning all invoices and forward to finance department Checking and preparing taxi invoices and DHL for payment Preparing DHL paperwork and assist staff if they have any queries with DHL Maintaining stationery cupboard and order goods when needed/requested by staff Completing water order when required Arranging holiday and absence cover of reception when required Attending training and management meetings if and when required Providing a helpful, approachable and friendly service for work colleagues and visitors Understanding and using Windows, Microsoft Office, Teams and Excel Daily use of franking machine, Canon photocopier, and laminator Booking Pool car for Staff. Complete Diary and updating Spreadsheet on Teams. If not available then requesting a Hire Car





Candidate requirements:





The ideal candidate will possess excellent computer skills (Word, Excel, Powerpoint) and be able to demonstrate at least three years previous experience in working as a receptionist in a similar environment, and using a switchboard.

You must be prepared to establish a close and positive working relationship with the other team members on site, including everyone involved in the cleaning and catering operations and the Estates and Workplace team you will liaise with on a daily basis.
