Who are we looking for?
Based at our site in Wantage, the HR Coordinator will be primarily responsible for ensuring that all HR related administrative duties and local recruitment are completed in a timely and accurate manner. They are the first point of contact for general employee enquiries with escalation to the HR Manager or HR Generalist as required. The HR Coordinator will manage the onboarding process and provide information and assistance throughout the employment lifecycle.
This is a full time role, site based, working Monday to Friday from 9am to 5pm with one hour for lunch.
What will you be doing?
Recruitment, selection and onboarding processes
From liaising with recruiting managers regarding vacancies, through to coordinating and carrying out first day Induction for new starters, the HR Coordinator will be responsible for recruitment activity for our production facility. This will include arranging interviews and the issue of all new starter documentation.
Advice and guidance
The HR Coordinator will be the first point of contact for general queries and provide basic practical advice to managers and employees in relation to policies and procedures. They will assist the HR Manager and HR Generalist in dealing with requests and issues relating to maternity, absence, flexible working applications, parental leave and annual leave. The HR Coordinator will provide important support for the HR Manager with employee relations casework, including disciplinary, grievance and performance related matters.
Co-ordination and support of the absence management process will be a key responsibility.
Administration
The HR Coordinator will be responsible for all HR administration which will include leaver letters, reference requests, pay and pension updates. In addition they will produce appropriate contractual documentation and correspondence in relation to internal transfers, terminations and changes to T&Cs.
Monthly duties will include collating paperwork for payroll; starters, changes, sickness absence, and running monthly payroll data reports.
Internal/external Communications
The HR Coordinator will Ensure that the latest policies, procedures, guidelines, benefits and forms are available and accessible to all staff. They will work closely with the HR Manager and HR Generalist to ensure all staff related matters and are communicated in the most appropriate manner, including the updating of the site TV information screens
Who are You?
- Demonstrable experience working in HR, ideally including recruitment, payroll and benefits administration
- CIPD level 3 qualified or equivalent qualifications/skills gained through experience is desirable but not essential
- Possess a good basic understanding of current employment law and HR best practice
- Strong IT skills and experience of HR systems. Experience with Microsoft Office suite particularly Word and Excel
- Ability to maintain a high level of confidentiality
- Highly organised with excellent attention to detail
- Good initiative and able to work with minimum supervision
- Able to multi-task and manage competing priorities
- proactive in liaising with people at all levels and able to work as part of a team
- Excellent interpersonal and communication skills confident in communicating by all methods including telephone, face to face and e-mail
