Job Description
Edge Careers are working with a growing construction company in the North West to recruit an experienced Information & Documentation Coordinator. This exciting opportunity is based in Manchester, where the successful candidate will take on the critical role of managing the company’s information systems and documentation for construction projects. Our client is seeking a highly organised and proactive individual to support their project teams and ensure efficient data management throughout the project lifecycle.
Role Overview:
As the Information & Documentation Coordinator, you will be responsible for coordinating and overseeing the use of key information management platforms, ensuring all documentation is accurate, well-organised, and easily accessible. You will work closely with internal and external teams to support project delivery, provide on-site assistance, and maintain high standards of document control.
Key Responsibilities:

Management of Information Systems:
* Oversee and maintain various information management platforms such as Viewpoint for Projects, SharePoint, and Field View, ensuring data is correctly uploaded and organised across all platforms.
* Support site teams in the effective use of these systems, helping them implement updates and troubleshoot any issues that arise.
*
Document Control & Compliance:
* Conduct regular quality assurance checks and audits of project documents to ensure they align with company standards and external regulations.
* Ensure proper version control and document tracking across all systems, maintaining accurate records and ensuring compliance with industry standards.
*
Site Support & Training:
* Provide ongoing support to site teams by conducting regular site visits to ensure proper documentation processes are being followed.
* Deliver training sessions for internal staff, clients, consultants, and subcontractors to ensure full proficiency with document management systems.
*
Reporting & Auditing:
* Generate detailed reports on system usage, document status, and compliance, presenting findings to management teams during divisional meetings.
* Regularly audit SharePoint, Viewpoint for Projects, and Field View to ensure the accuracy and accessibility of all project documents.

Documentation Storage & Organisation:
* Advise project teams on the appropriate storage and classification of documentation on SharePoint, ensuring adherence to best practices and company policies.
* Maintain organised filing systems for easy retrieval of documents and ensure they are stored securely.
What We’re Looking For:

Essential Skills & Qualifications:
* Proven experience in information management, document control, or a similar role within the construction or related industry.
* Understanding of ISO 19650 and ISO 27001 standards and a strong grasp of construction document management practices.
* Proficiency in Microsoft Office (Excel, Word, Outlook, Teams) and experience with document management systems such as Viewpoint, SharePoint, and Field View.
* Excellent attention to detail, with the ability to handle multiple tasks and deadlines effectively.
* Strong verbal and written communication skills, with experience training or guiding teams.
* Full UK driving licence and a willingness to travel to project sites across the North West.

Desirable Skills:
* Experience with construction-specific document management platforms (Viewpoint, Field View, etc.).
* Knowledge of construction terminology and the project lifecycle.
* Strong organisational and time management skills.
