Job Description
Swift Placements are working with a legal firm based in Harrogate City Centre who are seeking an experienced and detail-oriented HR, H&S, and Compliance Administration Manager to join their team in Harrogate on a full-time permanent basis. This role requires a proactive individual with expertise in legal compliance, who will oversee the effective management of HR processes, health & safety policies, and compliance standards across the organisation. You will play a pivotal role in ensuring the business adheres to all relevant laws and regulations while maintaining an efficient administrative function.

Salary: £25,000- £35,000 Dependent on experience
Location: Harrogate
Hours: 8:30- 5:30 with 1 hour 25 minutes for lunch; 36.25 hours per week

Key Responsibilities:
HR Duties
Manage end-to-end HR administrative processes, including onboarding, recruitment, contracts, employee records, and offboarding.
Support recruitment processes, including preparing job descriptions, scheduling interviews, and managing correspondence.
Monitor employee compliance with HR policies and assist with performance management documentation.
Arranging training courses for fee-earners (CPD) and non-fee earners.
Carry out and update risk assessments.
Introducing and implementing effective appraisal systems for staff, monitoring staff performance through regular performance reviews and setting goals for staff through personal development plans
Handling disciplinary procedures as required.
Maintain accurate employee records in line with GDPR requirements.
Health & Safety (H&S)
Ensure the organisation complies with health and safety legislation and best practices.
Develop and maintain H&S policies and procedures, conducting risk assessments where necessary.
Coordinate H&S training programs for employees and management.
Handle incident reporting, investigations, and follow-up measures.
Compliance and Legal Administration
Monitor legal and regulatory updates relevant to the organisation and ensure timely implementation of necessary changes.
Maintain up-to-date compliance records and assist in external audits or inspections.
Draft and review company policies to ensure alignment with legal standards.
Act as the first point of contact for compliance-related queries and liaise with legal advisors as needed.
Building Management
Manage the building repairs, decorations and cleaning.
Liaison with tradespersons to effect repairs as necessary.
Assist with sourcing, negotiating and procurement of new office equipment and maintenance contracts.
Developing and carrying out an agreed repair and maintenance programme in conjunction with the annual budget.
Carry out regular weekly and monthly testing of the Fire alarm systems in the building.
Arrange annual servicing of Emergency equipment and PAT testing.
Ensuring consistent high levels of housekeeping.
Compliance Administration
Organise and maintain comprehensive records for HR, H&S, and compliance functions.
Provide administrative support for management, including preparing reports, presentations, and documentation.
Coordinate cross-departmental initiatives related to HR, H&S, and compliance.
Ensure timely submission of relevant documentation to regulatory authorities.
Assist the Client Services Department with the Client Onboarding procedure.
Ensuring the firm adheres to all compliance and Anti money laundering regulations.
Assist with file reviews.
Assist with updates to the Firm’s website.
Key Skills and Experience:
Strong background in HR, health & safety, and legal compliance administration.
Proven experience in a similar role, ideally within an SME or diverse organisation.
Familiarity with UK employment law, GDPR, and H&S regulations.
Exceptional organisational skills with the ability to manage multiple priorities.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong attention to detail and the ability to work independently.
NEBOSH or IOSH certification in Health & Safety.
Experience working in a regulated industry or liaising with external auditors.
Excellent communication skills, both written and verbal.
Discretion and confidentiality in handling sensitive information.
