Job Description
The Senior Associate, Accountant, Brazil is a key member of the Regions and Support units (Finance & Administration) teams. The Senior Associate, Accountant will handle the day-to-day accounting, administration and Human Resources processes supporting the Brazil team. They will be responsible for compliance with local tax requirements in coordination with the legal team and the Country Director. They are responsible for compliance with RA and donors’ policies and procedures.
Responsibilities:
Controls and Procedures
- Implement internal accounting controls and procedures in accord with RA requirements, donors’ policies and procedures and local laws (taxes, legal and labor laws).
- Provide training regarding accounting/ financial procedures to ensure personnel adherence and accomplish them, including Concur Invoice, Concur Expense, Concur Advance.
- Maintain an inventory of office assets.
- Maintain accounting and payroll records and ensure that they are accurate and detailed and properly archived.
Cashbox and Banks
- Monitor office cash flow and maintain regular communication about this with Regional Accounting Manager.
- Coordinate with local staff and prepare the monthly cash flow.
- Administrate local banking relations, including bank accounts, credit cards, and others.

Payroll
- Handle payroll in coordination with the Human Resources Advisor and the outsourcing company if is necessary
- Coordinate and review monthly payroll to ensure that the payroll calculations are according to local labor laws.
- Provided feed back to employees in terms of payroll calculations, taxes, etc.
- Prepare and sent any payroll reports on time.
Accounting
- Review and process Expense Reports, Invoices and Advances to staff and ensure all documentation is according to the local laws.
- Process payments and upload information to the bank to be approved by the Country Director or the respective approver.
- Maintain the local accounting system and ensure the correct recording and coding of the information.
- Keep accounting accounts conciliated and with the respective details.
- Perform bookkeeping (as necessary) and preparation of monthly close in coordination with the Regional Accounting.
- Ensure monthly close is on time.
- Prepare and submit all local filings (tax and others) on time.

Administration, Human Resources and others,
- Manage national facilities including office budget, office space, home-based offices, vendors, lease, purchasing, country information, coordinate national safety & security planning, and serve as IT point-of-contact in country in coordination with Country Director and Regional lead(s).
- Facilitate/deliver training to local staff on key topics.
- Under the guidance of the regional GIC lead, review/prepare contracts and ensure their archiving in the salesforce platform and in coordination with the legal team as needed to ensure branch/subsidiaries meets all compliance requirements and ensure procurement and national contracts meets all RA and donor requirements.
- Provide HR support in employment relations issues and provide guidance to management on local employment law.
- Safeguards and elaborates staff files: requires documents to actual or new staff.
- Monitor and manage vacation and paid leave logs
- Provides and coordinates the new employee orientation.
- Organize periodic team-building activities for the country office
- Oversee logistics for country visits by other RA staff

- Serve as IT point of contact, which includes: local equipment procurement, distribution and inventory; coordination with IT vendors for service delivery; and providing feedback on local IT requirements and service delivery;
- Facilitate delivery of IT services and providing training support, including management/maintenance of conferencing equipment; advise, troubleshoot and support staff on use of OneDrive, Confluence, Salesforce; support local servers and printers.
Qualifications:
- Bachelor’s or advanced degree in accounting.
- Significant professional experience in the whole accounting cycle, experience in administration and human resources is a plus.
- Accounting legal registration in Brazil.
- Experience in payroll
- Experience in non-for-profit organizations (strongly preferred)
- Preferred experience of 2-5 years of national tax compliance
- Knowledge and experience with softwares such as Netsuite, Salesforce, Sharepoint, Confluence and others are a strong plus;
- Proficient in English language is a required;
- Strong team player; experience working successfully in cross-functional teams
- Outstanding interpersonal and communication skills, both written and verbal; and
- Demonstrated commitment to the RA mission and values.
Job Level: 4
Salary range: R$6,500 - R$8,500 reals a month (Gross salary plus benefits).
