Job Description - Property Manager

Responsible for the day-to-day operations of NPS and the overall management of assigned units including the guest’s experience, administration, quality control and property owner management.

Administration - to ensure inbound requests and inquiries are handled appropriately and all paperwork is in compliance.

  • Negotiate, prepare and enforce leases
  • Complete all required paperwork for new guests
  • Ensure compliance with relevant laws and regulations
  • Enforce terms of rental agreements
  • Enforce occupancy policies and procedures
  • Answer the phone, respond to emails and texts
  • Handle requests and inquiries in a timely and efficient manner
  • Prepare and distribute monthly statements if applicable
  • Ensure timely rent payments and collections
  • Coordinate default proceedings
  • Monitor and complete maintenance and repairs efficiently and cost-effectively
  • Ensure security of premises and maintain security devices
  • Organize incoming and outgoing inspections and prepare inspection reports
  • Implement preventative maintenance program

Guest Experience - to ensure all guests enjoy their unit, their stay and their interaction with the company and those associated with the company.

  • Conduct orientation for new guests to the people, property and NPS system
  • Arranging for key exchange or contactless move in
  • Assist in making guest move in as smooth as possible
  • Investigate and resolve guest complaints and concerns in a timely and efficient manner
  • Maintain timely communications with guests
  • Touring properties with potential guests when requested
  • Delivering a 5 star experience each and every time
  • Ensure any requested items are in place pre arrival
  • Surprise and delight with small unexpected touches and complimentary services

Quality Control - to ensure that each unit is guest ready by passing the NPS Cleaning Checklist.

  • Coordinating the unit turn
  • Hiring cleaners and other specialized vendors
  • Shopping for items that need replacement
  • Decorating
  • Assembling furniture and hanging pictures
  • Restock cleaning supplies
  • Finishing touches for the unit
  • Ensure all furnishings are clean, free of stains and in good working order
  • Coordinating property moves from one location to another
  • Setting up utilities and internet
  • Opening and/or closing properties as necessary

Property Owner Management - to ensure owner relationships and their properties both receive 5 star service.

  • Develop and maintain strong relationships with property owners, ensuring open communication
  • Create and execute marketing strategies to attract and retain tenants for owners' properties
  • Provide regular updates on the condition of their properties, including financial performance, guest feedback, and any needed maintenance or improvements
  • Ensure all property management agreements are up to date and properly executed
  • Coordinate and oversee maintenance and repairs for owner properties
  • Provide detailed monthly and quarterly financial and performance reports to property owners
