General Description

In this role, you will be providing administrative, secretarial support to selected Department Heads from Investment Solutions Group and manage some key processes within ISG.

Main Duties:
  • Provide administrative and secretarial support to selected members of ISG. Organize and schedule meetings, maintain diaries and make appointments to facilitate the running of the business.
  • Assist in the preparation of presentations and reports as required by the business
  • Provide guidelines and manage some important processes across ISG such as expenses, invoices etc.
  • Support selected ISG teams by scheduling and providing logistical support for Project Steering Committee (PSC) related meetings, other cross functional meetings involving senior stakeholders and interviews. This includes organizing key events for ISG.
  • Check and ensure the levels of office supplies and place appropriate orders
  • Work with Corporate Services/IT in timely reporting of the meeting rooms/facilities/equipment which requires quick fixes
  • Assist in devising and maintaining office systems, office equipment, and filing
  • Arrange business travel and accommodation as well as expense management for selected members of the team
  • Manage logistics for office moves/seat plan and new joiners' on board (including but not limited to desk/seat allocation, setup of desktop, stationery supplies and phone extension)
  • Other ad-hoc matters

Qualifications

Requirements
  • At least 2 years relevant experience in banking and finance
  • Self-motivated, independent person with integrity and discretion.
  • Able to multitask in a sophisticated work environment
  • Secretarial experience preferred and will be an added advantage
