Senior Project Manager Job Band: 5 Location: Toronto, ON The Senior Project Manager at OntarioMD is responsible for leading multiple, concurrent digital health initiatives, and leading teams in a matrix reporting relationship. Lead projects throughout the project lifecycle, from conception (business case, exploration and/or proof-of-concept) to design, development, testing, and implementation as well as adoption for smooth operationalization of strategic projects. The Senior Project Manager will be accountable for ensuring documentation standards are adhered to PMO standards, including ensuring appropriate user subject matter expertise has been engaged across the project life cycle. The Senior Project Manager is an excellent communicator, detailed and tactful in managing stakeholder expectations with considerable experience leading the development of the project and project team (both internal and external) through to successful completion. Under the direction of the Manager, PMO, this role: Manages large complex digital health initiatives throughout the project lifecycle: Primary project accountability and the main point of contact for OntarioMD. Responsible for detailed project planning by understanding the requirements and establishing scope, timelines, budget and target deliverables. Develops and delivers high quality documentations, including business cases, business proposals, project charter, statement of work, detailed project plans, project analysis reports, and other related project management artifacts. Strong written, verbal, and presentation skills; ability to communicate complex concepts concisely and simply to clients, internal and external stakeholders. Identify and proactively address project risks and roadblocks, ensuring smooth project execution and maintaining transparency with stakeholders, and escalates issues for resolution. Leads/manages internal and partner project resources and activities (e.g., change management, communications, vendor management). Prepares meeting materials and leads/facilitates project governance meetings, workshops and stakeholder forums, as required. Tracks project and provides regular updates to OntarioMD senior leadership and OntarioMD Board, project management office and stakeholders. Coordinates with internal and external partners to develop/continually improve project processes to drive towards project success. Demonstrate, supports the development of Requests for Proposals (RFP), evaluation and contract negotiation activities. Manages stakeholder relations: Builds relationships with internal and external stakeholders, ensuring transparent communication, ensuring alignment with project objectives, and minimizing resistance. Creates/delivers communications materials and business presentations to internal and external clients/stakeholders. Experienced and comfortable presenting at large and small-scale speaking engagements. Liaises with clients and stakeholders (e.g., project and executive-level resources at Ontario Health, Ministry of Health, clinician practices, vendors, institutions) to explain the benefits, responsibilities and progress associated with products and services. Supports pre-project activities such as client engagements, proposal development, interviews, facilitation of requirements gathering, etc. Supports the activities of the OntarioMD Project Management Office: Portfolio management - forecasting, budgeting, prioritization and reporting of initiatives. Resource management - plans, identifies and coordinates OntarioMD resources to support initiatives. Mentor and guide project managers and other team members on best practices, methodology and governance requirements, fostering professional growth and creating a high-performance team culture. Contributes to the continuous improvements of Project Management Office project management practices and framework. Facilitates the implementation and utilization of tools and templates for project delivery. Requirements that are important to us: University degree in Computer Science, Business Administration or a related field. Project Management Professional (PMP) certification or certification in progress is required. At least seven (7) years of project management experience, within which a minimum of 5 years as a Project Manager. Minimum of three (3) years’ experience delivering information technology initiatives, ideally in the healthcare industry. Minimum of three (3) years’ experience in proposal writing, business case development, and developing and managing RFPs. Strong business acumen, solution oriented, critical thinker, and creative problem solver. Proven ability to influence and work productively with multiple partners. Experience in developing detailed analysis, interpretation and opinion to support and guide senior stakeholders. Demonstrated experience leading cross-functional project teams in complex, multi-stakeholder environments, ideally in healthcare. Experience working in structured project management environments, preferably within PMOs. A good understanding and experience of Waterfall, Agile and Hybrid delivery methodologies. Excellent communication skills and proven ability to develop reports and make presentations to non-technical and/or executive audiences. Experience with vendor and team relations, change management, and multi-tasking is a requirement. Experience with MS Office and proficiency in Excel, PowerPoint, Project and Visio is required. Knowledge of MS SharePoint is an asset.
