Job Description
As Administrative Coordinator , you will provide administrative support, meetings, scheduling, etc for the Management Team and Board of Directors of this reputable Regina organization. Beautiful place to work, team environment, career growth opportunities and benefits that include EDOs, free parking and more As Administrative Coordinator, you will: Board of Directors Support Coordinate and manage all requirements for the Board of Directors and related Committees. This will include preparation of agendas and documents for Board meetings, scheduling meetings, recording of minutes, and after-meeting reports. Coordinate and liaise with government ministries and oversee files related to contract and financial commitments. Planning, preparation of reports, communication and followup on Board member activities Administrative support to the Management Team Provide administrative and office support to the CEO and Management team including word processing, excel spreadsheets, data entry and telephone/reception. Maintain and prepare up to date statistical and financial reports, quotes and invoices for management review and approval. Prioritize tasks to meet necessary deadlines. Liaise with clients and employees; communicate procedures and policies and respond to enquiries and situations with professionalism, respect and discretion. Establish and maintain accurate, up to date client and employee files. Schedule and record Occupational Health & Safety meetings and expectations. REQUIREMENTS: Education : Related Degree/Diploma/Certificate in Business Administration or Office Administration is an asset. Experience : Minimum 2 years’ experience in an administrative role requiring a high level of confidentiality and professionalism. Some financial reporting experience is an asset. Experience working with a Board of Directors, Roberts Rules, board and policy governance is a definite asset. Computer : Proficient in Word, Excel and Outlook and Powerpoint Personality/desired attributes : Motivated, self-starter with strong communication skills and commitment to confidentiality. Strong relationship building and interpersonal skills. Excellent organizational, attention to detail and time management skills. Willing to learn and be an integral part of the team. Friendly, professional and positive client-focused demeanor. Able to work with multiple interruptions, fixed deadlines and stay focused in a busy office area.
