Job Description

Position: Executive AssistantLocation: DowntownJob Type: 4-month contract (possibility to extend) Company Overview: Join a leading regulatory organization committed to maintaining the highest standards of compliance and accountability. We are currently seeking an experienced and highly organized Executive Assistant to support a senior leadership team. This role requires exceptional attention to detail, a proactive approach, and the ability to manage multiple priorities effectively.Position Overview: The Executive Assistant will provide critical support to the C-suite team, working closely with senior leaders to ensure smooth operations and efficient communication. The ideal candidate has a background in legal, financial services, government, or regulatory environments, with a strong understanding of the unique demands of these sectors. Experience supporting a legal team is a valuable asset in this role.Responsibilities:- Provide high-level administrative support to senior executives, including scheduling, coordinating meetings, preparing presentations, and managing correspondence.- Serve as a point of contact between executives and internal/external stakeholders, handling confidential information with discretion.- Prepare and review reports, presentations, and other documents using Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) with a high level of proficiency.- Maintain and organize executive calendars, coordinating complex travel arrangements and expense reporting.- Support additional projects and administrative tasks, including data management and coordination with other teams.- Assist the legal team in managing documentation, tracking compliance deadlines, and preparing materials as required.- Utilize Workday and other administrative tools for record-keeping and reporting.Qualifications:- Minimum of 5 years' experience in an Executive Assistant role supporting C-suite executives.- Background in legal, financial services, government, or regulatory sectors is strongly preferred.- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) is required.- Experience with Workday is an asset.- Bilingualism (English/French) is an asset.- Ability to thrive in a fast-paced, high-demand environment, managing multiple priorities with accuracy and professionalism.- Exceptional communication skills and the ability to build and maintain effective relationships with a diverse range of stakeholders.- Strong organizational skills, attention to detail, and a proactive approach to problem-solving.Please send your resume in Word format to Rory Colgan at rory.colganquantum.ca.REFER AND EARN A $50 GIFT CARD For more details, click here.OUR VIRTUAL DOORS ARE OPEN We're also bringing the interviews to you by various web applications, virtually Contact us today for your next opportunity.
