One of our government clients is looking for a Contract Administrator- Recent Grad- Government exp.Length: 5 months Contract (end date March 31,2025) with the possibility of an extension or turning to FTELocation: North York, ON (Hybrid- 3 days per week in office & 2 days remote)Working Hours: Monday - Friday, 9:00am - 5:00pm (7.25hrs/day) POSITION SUMMARYThe Contract Coordinator (the "CC") will assist the Senior Commercial Contract Manager (the "CM") and Director Relationship Management in managing the contract lifecycle between client and the Service Provider (the "SP"). ROLE TASKS TO BE PERFORMED BY THE RESOURCEAssist in managing the Transaction Agreement.Obligation management assistance.SFTP upload/download and subsequent required actionsAPTTUS upload/downloadDeliverable dissemination to internal stakeholdersRecords maintenance - Assist in maintaining thorough records of all transactionsMaintain traceability log on a day-to-day basisLog incidents, deficiencies, issues and other itemsAssist with root cause analysisAssist in following up and driving towards resolution and closure of all itemsAssist in maintaining thorough records for any items loggedPaymentsAssist with processing biweekly and ad hoc payments in PeopleSoftAssist in preparing Purchase Orders and Cheque requisitionsContract changesAssist with information gatheringAssist in completing risk and impact assessmentsAssist in assessing value of proposed changesFollow up with stakeholders for feedbackInternal and external meetings:Documentation of meetings including catalogue of artifactsFollow-up on action itemsIdentify opportunities for improvements and increased efficienciesRepresent contract manager as requiredAssist as back-up to Senior Commercial Contract Manager as appropriateAssist with gathering and compiling performance data for weekly and quarterly status reports - 15%Assist relationship team members with miscellaneous day-to-day activities - 10%FOI Requests (requests will come in from the Privacy Department, CC to upload to SFTP for SP action, CC to download response from SP and close loop with the resource)Notification Protocol Actions (Disseminate to the RACI noted in notification protocol)Sharing payment info with SP's via SFTP (On a biweekly basis Finance Department will provides payment info for CM's approval, CC to upload to SFTP the info for the SP to download)Drafting of regular approval letters (PIA/IT CONTROLS/etc.)Assist with Contract Amendments/Waivers per the CM directionFINTRAC/AML Exception ReportsParticipate in OMC's, prep OMC agenda's and follow through on action itemsLottery questions (training, invoices)Organize and keep SharePoint up to dateCustomer Care list update (usually on a yearly basis Customer Care will request update to contact listing)SP Access matters (e.g. if SP requires access to system help facilitate this request)Update Waivers /Amendments Governance tracker - update CM ahead of time if waivers expireKeep track of Lease renewal dates and update CMMaintain up to date bundle reference sheets and labour chartOther tasks like creating PowerPoint decks, conducting research, responding to general info requests from business partners and SPContractHUB (Everything including not limited to below): Managing and logging routine monthly and quarterly deliverables in ContractHubUpdating cases and occurrencesDeficiency Management / Logging deficiencies in ContractHub and creating deficiency reporting on a weekly and monthly basisDevelop look ahead report for OMC's detailing upcoming deliverables Monitor important non-routine deadlinesInsurance renewalsBuilding Maintenance ReportsCollective bargaining renewal datesBusiness Continuity Plan and testingDisentanglement PlansDisseminating obligations for approval KEY STAKEHOLDERS TO LIAISE WITH THE RESOURCE· Internal Senior Commercial Contract ManagerLegalOperations Performance OptimizationRelationship Management TeamBusiness Partners· External Service Provider Relationship Management teamService Provider Finance team QUALIFICATIONS / EXPERIENCE FOR THE ROLE· 1-3 year of experience administrating commercial contracts.· University degree or college diploma preferred.· Previous experience in Casino Operations or the Gaming Industry would be considered an asset.· Experience working in a public sector and/or highly regulated environment.· Experience working with legal terminology related to Service Provide contracts.
