Research Project Coordinator Requisition ID 2024-12361 Department Electrical & Computer Engineering Employment Type Temporary Time Type Full-Time Hiring Range $53,149 - $66,436 Job Category Research Job Location : Location CA-ON-Waterloo Overview Term: 2 years The Research Project Coordinator provides administrative, financial and project support to the Emerging Radio Systems Group (EmRG) with all aspects of its research projects. The primary responsibilities of the role include research project administrative support, project planning and management support, human resources administration, the development of grant proposals and reports, and supporting a variety of communication and liaison activities on behalf of the group. This position is Contigent on Funding Responsibilities Research Project Coordination Support Track project schedules and deadlines for reporting Monitor accounts following various granting agency regulations Assist in the preparation of year end and other progress reports for granting agencies and partners, as required Complete any forms/budgetary information related to the granting agencies and the Office of Research, as required Respond to information requests from researchers, collaborators, and agencies Maintain records of project agreements Assist with scheduling the use of lab equipment, upholding safety requirements in labs Track and assist with the management of project workflow Coordinate all EmRG requests for computer and related accessory purchases, repairs, technical inquiries/trouble shooting, with the department’s Research Infrastructure Support Group Human Resources Administration Complete paperwork for salary or scholarship payments for students, in collaboration with the departmental Financial Coordinators Provide support and guidance to co-ops, research assistants, and visitors, etc Submit requests for non-faculty appointments (e.g. Research Associates) to the Research Appointments Coordinator Provide on-boarding for new research team members (including graduate students and visitors) Research Project Administrative Support Liaison with the research financial administration staff assigned to the Director, EmRG Implement administrative procedures and systems to meet EmRG operational needs and inform team members accordingly Assist with purchase requisitions of research supplies/equipment and services and ensure compliance with university policies Act as a resource on procedures and policies relevant to grants and contracts Liaison with other units and externally with partner agencies Prepare expense reimbursement claims in compliance with university policies and procedures and external granting agencies Submit requests for space, keys, telephones, and accounts for new members Communication and Liaison Activities Ensures dissemination of information including announcements, presentations, promotional materials, etc., in accessible format, in collaboration with the Director, EmRG and Communications & Awards Officer Acts as a contact person for investigators, research staff, graduate students, and partners Plans and organizes meetings, research symposia, guest lectures and seminars, and conferences Coordinates the planning and logistics for site visits Coordinates tours of EmRG facilities, including photo/video shoots, as requested Provides information to EmRG’s management team to update the EmRG website as needed Coordinate research meetings with industry partners Other Maintain an up-to-date CV for the Director, and track all publications/citations, collaborations, and presentations Maintain knowledge of granting agencies requirements Provide assistance with special projects as assigned Qualifications Undergraduate or higher degree preferred, or equivalent education and experience may be considered 3 years related administrative experience, preferably in a university research environment Experience coordinating large scale projects would be considered an asset Experience in the preparation of reports, and knowledge of grant program requirements is considered an asset Excellent computer skills (MS Office including Word, Excel, databases, SharePoint, web-based) Superior oral and written communication skills, including an ability to interact professionally and effectively Ability to work independently with a high degree of accuracy, attention to detail and flexibility Good judgement and problem-solving skills Excellent time management, organization and coordination skills are required Demonstrated ability to handle confidential information with discretion and tact Understanding of University and research granting processes an asset Equity Statement The University of Waterloo acknowledges that much of our work takes place on the traditional territory of the Neutral, Anishinaabeg, and Haudenosaunee peoples.
