Receptionist/Office Admin

Contract: Temp 8 to 12 weeks
Pay rate: 12.00
Based: Glasgow City Centre

Fully office based

General Responsibilities

The Receptionist will provide an efficient and welcoming front-line service to clients and visitors.
The Receptionist will offer clerical support to the Finance and Administration teams as needed.
Specific Duties

Reception Duties

Serve as the first point of contact for visitors, greeting all clients courteously and promptly.
Ensure visitors are directed to the appropriate staff member or arrange appointments as necessary.
Handle routine inquiries and direct non-routine inquiries to the appropriate department.
Maintain a well-stocked reception area with necessary materials, ensuring availability at all times.
Keep the reception area clean and orderly.
Manage the visitor log and the staff out-of-office register.
Ensure noticeboards display up-to-date and relevant information.
Ensure interview rooms are tidy and prepared at the start and end of each day.

Telephone Duties

Answer the switchboard and manage incoming calls, dealing with routine inquiries as appropriate.
Transfer calls or messages to the relevant staff members promptly.
Ensure that voicemail greetings and outgoing messages are current.

Mail Handling

Assist in recording and distributing incoming mail.
Support the coordination of large mailings as needed.
Utilize office equipment, such as folder/inserter machines, when preparing mail.
Frank and prepare outgoing mail for posting.
Ensure the franking machine is stocked with funds.
Handle confidential mail appropriately, ensuring secure disposal.

General Clerical Support

Assist with photocopying, scanning, and filing.
Prepare application packs and other documentation as required.
Handle and process payments received, maintaining records accordingly.
Maintain appropriate stock levels of office consumables.
Provide typing support when required and ensure familiarity with internal systems such as email and document scanning.

Office Organization

Ensure adequate stock of office supplies, coordinating with the Office Manager.
Maintain cleanliness and organization of storage areas.

Miscellaneous

Prepare refreshments for meetings as required.
Assist in purchasing daily provisions.
Participate in team meetings and contribute to the continuous improvement of services.
Record service or maintenance requests when necessary.
Provide assistance to the Office Administrator or Manager as needed.
Undertake any other duties assigned by the management team.
