We are seeking a Patient Admin Specialist based in Newark, California, for a long-term contract employment opportunity. This role involves managing various administrative tasks within the outpatient clinical setting. This position is vital for the daily operations of the clinic, including new patient coordination, surgery scheduling, and front office functions.
Responsibilities:
• Greet and assist patients with initial inquiries about appointments, payments, schedules, and more.
• Manage the front desk operations including check-in and check-out procedures.
• Handle multi-line phone systems, screen and route calls, and take messages for clinic staff and physicians.
• Ensure all verifications and authorizations are completed before the patient sees the provider.
• Communicate effectively with providers regarding scheduling preferences and the ability to respond to urgent patient needs.
• Provide support to doctors and patients using reference documents and tools.
• Perform various administrative tasks including maintaining information and paging directory databases and processing internal forms.
• Utilize the functionality of the telephone system and electronic medical records systems in performing assigned job tasks.
• Answer non-clinical patient messages and escalate where appropriate.
• Manage and distribute faxes, mail, and filing of clinic-specific documentation.
• Proven experience in customer service, ideally within a healthcare setting.• Excellent communication skills, both written and verbal.
• Ability to accurately document patient interactions and medical information.
• Experience scheduling appointments in a professional setting.
• Proficiency in payment processing and handling financial transactions.
• Knowledge of database management and data entry.
• Detail-oriented with the ability to handle scheduling tasks efficiently.
• Experience in filing and organizing documents.
• Understanding of clinical trial operations is a plus.
• Familiarity with Customer Relationship Management (CRM) systems.
• Ability to verify and authenticate necessary documents and information.
• Proficiency in operating various computer systems.
• Experience with authorizations in a medical setting.
• Ability to distribute faxes and manage daily operations.
• Strong coordination skills, able to manage multiple tasks concurrently.
• Experience with patient check-in procedures.
• Knowledge of medical terminology.
• Familiarity with operating phone systems, particularly multi-line phone systems.
• Experience with EMR - Electronic Medical Records is a plus.
• Ability to route incoming calls efficiently.
• Experience in surgery scheduling is desirable.
• Knowledge in non-clinical operations within a medical setting.
