What does a great Workplace Real Estate Associate do? You will support with real estate transactions (leases, sub-leases, renewals, rent reviews, dilapidation negotiations, service charge budgets, and landlord/tenant interaction) within the APAC and EMEA regions. Manage the provision of workplace services e.g. repair and maintenance, cleaning, security, and hospitality-styled offerings that will support Travelport in the creation of engaged workplace communities in a hybrid working world – with an unwavering pursuit of exceptional customer service.

Deliver projects to support the reshaping of Travelport’s real estate portfolio including relocations and space management - the creation of space planning drawings, office fit-out tender specification documentation, appointment and management of local construction services, and the project management of all projects through to delivery.

Compliance with Travelport processes for effective budget preparation and review, spend management, and contract service provision, whilst closely working with internal stakeholders to make sure that the portfolio aligns with the company values, vision, and strategic priorities. The individual will need to be able to build and develop good relations with suppliers and internal stakeholders whilst supporting employees in providing a workplace that enables them to achieve their best work.

Creation of modern engaging work environments that support the retention and attraction of talent; the management, implementation, and compliance with H&S legislation; and the development of policies, procedures, and protocols within the Travelport global property portfolio.

Main Accountabilities

Real Estate

  • Prepare annual Opex and Capex budgets for assigned regions and prudently manage and reforecast throughout the year.
  • Work closely with internal stakeholders and external parties to deliver business/cost-effective estate strategies.
  • Oversee lease transactions and liaise with outside attorneys and professional service suppliers.
  • Dispose of surplus accommodation by way of sub-letting/assignment.
  • Resolve landlord and tenant disputes.
  • Manage day-to-day real estate issues that arise.
  • Oversee the processing and correct accounting treatment of monthly rent, service charges and other operating expenses in close liaison with AP, Controllership, Treasury, and FPA.
  • Review portfolio critical lease dates, rent reviews, break options, and expiries, and provide the Senior Director Workplace with estate strategy solutions that are aligned with Travelport’s location strategy.
  • Coordination of projects (relocation, co-location, refurbishment, consolidation, and closure)
  • Manage regional serviced office provision with third-party real estate advisers ensuring that this part of the portfolio aligns with the company values, vision, and strategic priorities.

Facilities Management

  • Ensure the portfolio conforms to the Workplace guidelines.
  • Engage regularly with the team and local staff to identify facility issues/risks, contract reviews, community events, etc.
  • Management of third-party suppliers and sub-contractors including the provision of suitable SLAs.
  • Environmental, Social and Governance (ESG) & Corporate Social Responsibility (CSR)
  • Support the Senior Director Workplace in the development of the Workplace elements of Travelport’s Environmental, Social, and Governance (ESG) Standards and Framework documentation ensuring accurate reporting that can be scrutinised in the public arena.
  • Review and implement with the Workplace team ‘greening’ initiatives across the estate to include the reduction of plastic usage, coffee cups and pods, non-recyclable waste going to landfill, and increasing employee engagement/understanding of the environment and Workplace initiatives.

What we look for/who would prosper in this role?

  • Property and/or Health & Safety professional membership would be beneficial but not essential.
  • Broad knowledge of real estate acquisition, lease management, and associated negotiations.
  • Requires knowledge of financial real estate terms and principles.
  • Financial/business analysis, including the preparation of reports.
  • Ability to solve problems and deal with a variety of options in varying situations using analytical and quantitative skills.
  • Self-motivated and able to work independently, as well as the knowledge and ability to supervise employees.
  • Being able to use AutoCAD would be beneficial but not essential.
  • Fully conversant with Microsoft Office Excel skill set including the operation and application of pivot tables.
  • Ability to collaborate and complete tasks and projects in a team-focused environment.
  • Experience of working in a busy corporate environment, with a wide and diverse audience.
  • Commitment to delivering excellent levels of customer service.
