Job Description
Administrative Team Leader
As a Team Leader, you will provide supervision, support, and guidance to the administrative team, ensuring the smooth day-to-day operations of the department. You will be responsible for delivering a high-quality customer experience and ensuring that the team operates efficiently and effectively.
Responsibilities:
- Coach and develop the skills and knowledge of team members.
- Support the review of processes and ways of working to improve efficiency.
- Promote and uphold the company’s culture, values, mission, and strategy.
- Be accountable for meeting departmental objectives.
- Ensure regular quality monitoring of calls.
- Oversee ongoing training on processes and facilitate process reviews, with suggestions presented to senior decision-makers before implementation.
- Prepare and deliver weekly/monthly client reports.
- Perform daily, weekly, and monthly checks on spreadsheets, taking action as necessary.
- Ensure staff deliver excellent service, representing the company professionally when interacting with clients and customers.
- Manage the logging and sending of all required paperwork to clients/customers/tenants, ensuring compliance with contractual obligations.
- Ensure timely communication with tenants via letters or phone calls prior to appointments, in accordance with agreed timescales.
- Manage the team according to office guidelines, ensuring adherence to start times, breaks, and log-in/log-out procedures.
- Handle complaints from clients, tenants, or customers.
- Escalate any missed deadlines, performance issues, or unmet targets to senior management.
- Liaise with operational supervisors regarding staffing needs.
- Be accountable for the efficient completion of tasks by team members.
- Conduct staff reviews and return-to-work interviews.
- Ensure sufficient staff coverage during holidays or absences, including cross-training where necessary.
- Participate in the recruitment process, including reviewing CVs, arranging interviews, and serving on the interview panel.
- Be mindful of financial implications when authorising overtime or staffing levels.
- Attend client meetings as needed.
- Participate in the standby rota, providing out-of-hours support on a rotational basis.
- Maintain discipline and professionalism within the team.
- Escalate any concerns rapidly.
- Handle disciplinary matters in line with company policies and procedures.
Job Details:
- Full-time, Permanent
- Salary: Up to £30,000 per year
