Reports To: Chief Executive Officer (CEO)
Employment Type: Full-time / Part-time
Salary: £12 - £15 per hour dependent on experience
Position Overview:
Our client Crystalight is seeking a highly organized and proactive Assistant to support the Chief Executive Officer (CEO) of a property management, investment, and development company. The ideal candidate will be an efficient, detail-oriented professional with the ability to manage multiple priorities, provide strategic administrative support, and contribute to the smooth running of daily operations. This role requires exceptional communication skills, discretion, and the capacity to manage confidential information.
Key Responsibilities:
Administrative Support- Manage and coordinate the CEOs calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and organize meeting agendas, materials, and presentations.
- Screen phone calls, emails, and other communications, responding on behalf of the CEO when appropriate.
- Handle confidential information with integrity and discretion.
- Act as the first point of contact between the CEO and internal/external individuals, ensuring smooth communication and handling requests professionally.
- Draft and edit correspondence, reports, presentations, and other documents as needed.
- Facilitate effective communication between the CEO and the executive team or external partners.
- Organize and coordinate board meetings, team events, and other corporate functions.
- Record meeting minutes and follow up on action items to ensure deadlines are met.
- Oversee logistics for high-level meetings, including venue booking and catering when required.
- Assist with the execution of key strategic initiatives and projects as directed by the CEO.
- Monitor project timelines, track progress, and follow up on deliverables to ensure alignment with company objectives.
- Arrange complex travel itineraries for the CEO, including flights, accommodation, and transportation.
- Manage travel expenses, prepare expense reports, and ensure timely reimbursement processes.
- Provide general administrative support to the CEOs team and assist with ad-hoc tasks as required.
- Conduct research, gather data, and prepare reports on various topics to assist the CEO in decision-making.
Qualifications:
Experience:- A minimum of 2 years of experience in an executive support role is preferred.
- Experience in project management and coordination is a plus.
- Qualifications in Business Administration, Communications, or a related field are preferred.
- Exceptional organizational and time management skills with the ability to prioritize and multitask effectively.
- Strong written and verbal communication skills.
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management tools (e.g., Google Calendar, Microsoft Outlook).
- Ability to work independently and under pressure, demonstrating proactive problem-solving.
- High level of professionalism, confidentiality, and discretion.
- Flexibility with working hours and availability for occasional after-hours tasks.
- Ability to build strong relationships and work collaboratively with cross-functional teams.
