Job Description

In this role as an Administrative Assistant, you will provide comprehensive support to the President & CEO, the Board of Directors, and the Executive Team. Your duties will include:Coordinating and arrangement of the CEO's calendar, prioritizing items as needed.Serving as the first point of contact for the CEO by managing incoming calls and inquiries and redirecting, as required.Upholding a thorough filing system, to track all inquiries and information sent to and from the CEO.Gathering documents from various departments for meetings and preparing an accurate package of information to facilitate decision-making for the President and CEO.Organizing weekly Executive Team updates and meetings, including staff town halls and other strategic and business-related meetings.Organizing and coordinating key stakeholder events, including Board meetings, external stakeholder meetings, and various delegations.Providing support to the Board of Directors and Board Chair, assisting in preparation and distribution of all Board meeting minutes and records.Maintaining minutes of Board meetings and committee meetings and ensuring they are readily available when required.Aiding in the coordination and collection of information for the CEO report, conducting thorough reviews, edits, and ensuring alignment with the company's strategic goals.Providing support for the Annual General Meeting and the DiscoveryX conference, assisting with coordination of activities and administrative support as needed. To thrive in this role, you should possess superior organizational skills, exceptional communication abilities, and the capacity to handle a variety of tasks in a timely manner. A high level of discretion and professionalism in managing confidential information is essential to this role. In addition, your proactive and detail-oriented approach will be critical to managing and anticipating the administrative needs of the President & CEO, the Board of Directors, and the Executive Team. Qualifications: Proven experience in a similar administrative role or supporting senior leadership.Superior time-management and multitasking abilities.Detail-oriented and highly organized.Strong written and verbal communication skills.Proficient in Microsoft Office Suite and comfortable with learning new digital tools and systems.Ability to handle sensitive information with confidentiality and diligence.
