Job Description

Out Non-Profit client is looking for an energetic Facilities Coordinator. This person will be responsible for managing room setups and equipment, overseeing building maintenance, optimizing storage spaces, and ensuring compliance with health and safety regulations. This role involves coordinating with staff, volunteers, and external contractors to ensure the smooth operation of the facility and its events. The Facilities Coordinator also serves as the primary point of contact for maintenance-related inquiries and works to maintain a safe, clean, and functional environment. ________________________________________ Duties and Responsibilities: Room and Equipment Set-Up: ● Schedule and manage room setups using the Room Set-Ups Calendar to ensure timely completion ahead of scheduled activities. ● Coordinate with cleaning staff and the scheduling team to prepare rooms, addressing any special setup instructions or conflicts. ● Ensure all equipment is in place and operational for activities, assisting members with equipment operation as needed. ● Set up and manage A/V and IT equipment for events providing support to presenters and hosts. ● Perform routine inspections and maintenance of all A/V equipment and coordinate with suppliers and contractors for repairs or replacements. ● Communicate with the City of Vancouver, caterers, and event planners to align room setup schedules with all site visits and events. ● Oversee staff during all phases of event preparation, setup (including Zoom meetings), support, and takedown. ● Represent the maintenance perspective to event planners regarding available resources, staff, and equipment. Building Maintenance: ● Perform routine maintenance and minor repairs, including carpentry, painting, plumbing and electrical work. ● Regularly inspect fixtures, doors, windows, and furnishings for wear and tear, ensuring timely replacement. ● Respond to abnormal events detected by monitoring devices and manage equipment breakdowns, recommending preventive measures to the ED. Storage Space Management: ● Provide storage services to staff and members and maintain the box storage management system ● Manage storage space to optimize usage and eliminate waste. ● Perform bi-annual equipment counts and audits, noting storage locations and equipment conditions. ● Maintain the Door & Lock Registry, ensuring keys and locks are properly labeled and stored.
