Job Description

Main purpose of the job: General office administration within a research environment, assisting with research related administrative duties and research outputs Location: Chris Hani Baragwanath Academic Hospital – Soweto, Johannesburg Key performance areas: Research Administration Duties Obtain quotations when purchasing consumables, equipment for meetings and project activities within the budgetary guidelines Monitor expenditure against budget continually ensuring optimal burn rate is adhered to obtain invoices and resolving queries with external suppliers Facilitate the procurement process within the projects in line with the respective policies. Preparation and processing of invoices for payment for all purchases Preparation and processing of reimbursements for the Director and staff members, as required Follow through on the purchase requisition order process on the P2P system by obtaining signature for approval Compliance checks with payments Assist with quotes and bookings of flights, accommodation and requesting of per diem for research related trips for staff members Create Study Logbook and/or registers as per project needs Maintain an auditable filing system Timeously collate the projects time sheets each month and submit to grants department by due date Photocopying and filing of documentation as required Organise and book staff meetings, take and distribute minutes Arrange facilities and refreshment for meetings Capture manual Data in a timely manner on the Red Cap or other electronic database, in line with study protocol as dictated by the standard operating procedures Stock ordering and maintenance of stock inventory Perform monthly site monitoring and evaluation ensuring data credibility and accuracy for all transactions Ensure that petty cash reimbursement form is completed, and the required signatures are obtained Collect petty cash during the stipulated time frame from finance Collect project specific petty cash, as and when required and distributed ensuring this is documented on a control process to confirm movement of cash Reconcile off-site petty cash, as and when required, ensuring that receipts, spread sheets and money remaining balances Ensure petty cash is returned in line with the petty cash SOP Address audit queries Research-related duties Work closely with the respective Project Managers and Project Leads to assist with any research administrative duties, e.g. booking of meetings, venues, refreshments, copying and filing, petty cash management, data entry, driver coordination (as also described above) Assist with literature reviews and write-up Assist with the development of Research Documents and Study Tools Assist with research related outputs, including qualitative data coding, data analysis and writing for reports and publications Required minimum education and training: Bachelor or Honours Degree in Psychology, Public Health or related field Required minimum work experience: Minimum of 3 years’ experience working in a research administrative position with experience in academic outputs Desirable additional education, work experience and personal abilities: Good administrative skills together with working knowledge of Microsoft Office (including Outlook and Excel) Knowledge of health and safety regulations, quality control and assurance procedures Should be able to work under pressure and adhere to deadlines Must be pro-active and adaptable Good communication and interpersonal skills The ability to multitask at various levels of work in a deadline-oriented environment TO APPLY: Only if you do meet the minimum job requirements and experience as mentioned above, you may submit a detailed updated CV.
