About the Company:
Our London based client, Macrobond, a global fintech company, are currently seeking an Executive Assistant /Office Manager based in the heart of the city, Moorgate. This dual role is an integral part of the company, not only overseeing the day to day running of their London office and overseeing their other international office but you will also provide comprehensive EA support to the Senior Leadership with special focus to the CEO. You will have previous experience as both an Office Management and Executive Assistant. The company requires someone who will be able to come in and work with the CHRO to create and efficient and effective office environment, this will include establishing policies and procedures to include H&S, fire marshal, negotiation and building relationships with key suppliers and other 3rd parties.

Provide EA support to their CEO including diary, expense and travel management. Support in the production of meeting material. Schedule committee and board meetings. Take minutes at committee and board meetings, produce detailed and concise minutes. Expense management for Senior Leadership team. Ad-hoc administration support to the wider team as and when required.
Responsibilities:

- Expense management for Senior Leadership team
- Ad-hoc administration support to the wider team as and when required
- Office Management
- Oversee daily office operations, from facilities and visitor management to scheduling meetings and organizing couriers
- Supplier Management Leader: Build and maintain relationships with suppliers to keep the office functional and well-equipped
- Health & Safety: Implement and enforce health and safety policies, acting as our Fire Marshall and First Aider
- Update and maintain office policies and procedures
- Coordinate with the Property Manager on maintenance issues
- Manage reception, ensuring a first-class welcome for visitors
- Lead projects for office moves, refits, and refurbishments
- Oversee office budgets, contracts, and systems (e.g., office lease, security, cleaning, food/drink orders)
- Assist in the onboarding process for new hires and offboarding of leavers
- Manage IT equipment and mobile phone costs
Qualifications:
You have 5+ years of professional experience in EA/Office Management. You will have excellent IT skills (MS Office; Excel). You possess outstanding organizational and communication skills. You have a keen attention to detail and strong problem-solving abilities. You're personable, trustworthy, and reliable. You can work independently and as part of a team.
Pay range and compensation package:
Competitive salary - 25 days holiday per annum. 2 Macrobond days to use per annum for volunteering. Company laptop provided for work. 8.5% employer pension contribution. Life Insurance. Private medical insurance, dental and vision insurance. Cycle to work scheme.
