Job Description

Our client is looking for an experienced Executive Assistant/Operations Manager to support the CEO and COO. In this role, you will be a thought partner and sounding board for our CEO. You will manage the scheduling of the CEO’s client delivery, and you will work directly with C-suite clients and their teams. You will also play a significant role in supporting business and finance operations as a right hand to the COO. What we offer: Location: Toronto, Ontario Reporting to: The CEO and COO Work Hours: Monday - Friday: 8:30 AM to 5 PM Salary: $70K – 80K Job Type: Permanent Full time What you'll do: Executive Support Manage the CEO’s schedule, with the objective of maximizing their productivity and building strong relationships with clients Be a thought partner, confidante, and sounding board to the CEO. Manage all aspects of the CEO’s schedule and calendar to maximize productivity, including scheduling delivery of client work Assess situations and determine the appropriate course of action, referral, or response, exercising judgement to reflect CEO’s style and enabling them to focus on business priorities. Operations Support Creates new/modifies existing project management reports Produces and analyses monthly Key Performance Indicators (KPIs), such as sales and utilization reports With direction, prepares government compliance reporting and remittances (e.g. quarterly WSIB reports, annual EHT return, quarterly HST) Processes subcontractor payroll (review invoices, create payment summary, enter payments into payroll system) Supports accounts receivable by creating invoices in QuickBooks What we're looking for: University degree (Arts or Business preferred) At least 5 years of experience as an EA or Chief of Staff managing a busy executive, ideally in professional services. Must have experience using QuickBooks; highly numerate interest and capability to support finance operations work HR or OD background is an asset. Bilingual in French/English is an asset.
