Reports to: Transportation Contracting and Operations Manager - DMB Sales

Location: London Office Hybrid Working (Currently 3 days in the office and 2 days WFH)

Department: DMB (Destination Management Business), London Branch

Employment Type: Permanent and Full Time

Salary: Starting from £25,000 - £30,000 per annum

Job Purpose

This is a fantastic opportunity to join our dynamic team as a Transportation Booking Agent for the Inbound Market within the UK and Ireland. On this role, you will be responsible for the booking, contracting and management of transportation arrangements, such as coaches, mini buses and chauffeur cars by coordinating with transportation service providers and maintaining an excellent customer service.


Main Responsibilities

  • To collaborate with transportation service providers, such as coach companies and chauffeur car hire, to coordinate travel arrangements as required
  • Resolving any scheduling conflicts, cancellations, or other issues that may arise
  • Dealing with daily telephone queries from suppliers, tour escorts and clients by offering guidance and addressing concerns throughout the booking process, you will be part of the On-call rota system too
  • Assisting with the logistics of group bookings and FIT tours. The sourcing and booking, amending and quoting services required by clients even at short notice
  • Validating suppliers’ invoices
  • Providing exceptional service and attention to VIP guests and company groups from the Japanese and Asian Market when required
  • As a coordinator, to effectively handle roadside emergencies such as breakdowns, issues between drivers and Tour Leaders, late coach arrivals, and to liaise with relevant parties to successfully resolve the issue(s)
  • Gathering information such as, and not limited to, driver details, insurance documents, and operational licences


Qualifications and Experience

  • Ability to handle cases from start to finish, and under time constraints
  • To build strong working relations and to have regular contact with suppliers
  • Liaise with colleagues and counterparts from overseas Asia offices
  • To provide internal coverage for internal department within London Branch when requested
  • Strong coordinator and organisation skills when liaising with third party providers or suppliers


Relevant Skills / Characteristics

  • Fluent written and verbal communication in English is essential
  • Any additional language, such as Japanese, Mandarin, and/or Cantonese are desirable
  • Minimum of 1 – 2 years’ Travel or Transportation industry experience is essential
  • Understanding of current legislation for coach drivers’ hours and industry specific working time regulations is essential
  • Good organisational skills, adaptability to changes in work levels, time management & ability to perform well under pressure
  • Ability to work as part of a team as well as individually
  • Strong communication and negotiation skills
  • Adaptability to fluctuations in work levels
  • Time management skills
