Job Description

As Business Administrator, you will provide full support the Business Support Manager as well as the Branch Managers across the UK and Ireland. The main purpose of this role is taking ownership of the operational and delivery of the facilities services with guidance from the Business Manager.

Key Responsibilities:
  • Provide full administrative support to the Business Support Manager.

Main Tasks and Deliverables:
  • Responsible for day-to-day coordination of incoming jobs reported by Branch Managers over 62 sites.
  • Recording of all jobs in a timely manner and ensuring continued communication is kept on update of progress cradle to grave service
  • Management of planned preventative maintenance (PPM), striving towards 100% compliance across of the portfolio
  • High level of engagement with all stakeholders ensuring a constant strong link for all go to person
  • Raising of all purchase orders
  • Question all cost that are presented to us from suppliers and contractors, striving for best value
  • Cover of reception and general administration task when required
  • Ensuring the compliance files is regularly updated so all branch managers have visibility of their property statutory documents
  • Collate and record of sustainability data, Environment, social and governance, ESG
  • Support with insurance matters, both building and personal claim
  • Creating new database of contractor management and implementation
  • Supporting the Business Manager in on-going projects, liaising with contractors / attending meetings
  • Inputting of all business rates applications (Valuations Office Authority) liaising with councils
  • Assisting the Business Support Manager in liaising with suppliers on the renewal of services and to ensure the SLA are being met
  • Assisting the Business Support Manager in CAPEX request and the administration of them

Skills and Experience:
  • Keen eye for detail
  • Experience in scheduling work
  • Create manage monthly reports on compliance
  • Knowledge of legislative practices
  • IT Literate (Excel, Word,)
  • Customer focus, empathy, and motivation
  • Proactive, Innovative and a forward thinker
  • Ambitious and Creative
  • Manage own workload to a high standard

Desirable:
  • Knowledge of Business
  • Knowledge of BMS
  • Knowledge of ISO 9001
  • H&S knowledge (This can be taught)
  • Market and Value Proposition
