Job Description

Property Administrator - Office based in Solihull - Permanent - Competitive salary offered

Hours of work:37.5 Monday to Friday

Job Description

Reporting to the Head of UK Investment, responsible for all the administrative tasks associated with owning and managing a substantial UK based property portfolio to include insurance, data input, board and bank reporting and tenant liaison.

Insurance

-Being the main point of contact for any insurance matter for IM Properties

-Ensuring all assets have the correct level of cover

-Raising invoices for annual premiums

-Dealing with any tenant queries and claims

-Working with the broker to ensure the information on each asset is correct

-Arranging insurance inspections

Data Input

-Ensuring the IM Properties property database is accurate and up to date

-Inputting new leases / tenancies

-Making changes to rents / lease terms

-Reading leases / lease summaries

Data Export / Reporting

-Running monthly investment reports

-Extracting quarterly board reports

-Running quarterly bank reports

Sustainability

-Keeping EPC register up to date

-Assisting with data collection for reporting purposes

-Be the interface with the IMP energy consultant

Support for the team including but not limited to

-Adding letters to letterhead, scanning, printing, witnessing etc

-Meeting room booking

-Arranging inspections of properties

Minimum Requirements:

  • At least 3 years working experience, in a data input / administration role
  • Proficient in Microsoft Office (Outlook, Excel & Teams)
  • Good standard of education. GCSE passes in core subjects (English & Maths)
  • Ideally would have some experience in UK commercial property

  • Good communication skills, both written and verbal as you’ll be liaising with many stakeholders
  • The ability to use own initiative but also know when matters need to be referred

  • Willingness to learn and develop
  • Ability to work across teams and liaise with different businesses
