Summary:

The Assistant Project Manager (APM) will assist the Project Manager (PM) and Senior Project Manager (SPM) by providing the necessary support to help implement project goals as directed.

This position calls for a dynamic individual with an energetic, confident personality and an eagerness to take initiative to uphold company goals. The role will require the APM to learn all aspects of the job, ensuring continuity in the absence of the PM, while maintaining a positive attitude in a fast-paced environment. Understanding the permit submittal process, understanding building/zoning code, reading construction documents, and communicating with Cities/Municipalities on all aspects of permitting will be a major component of the project assistant's position. This position will involve a great deal of multi-tasking, communicating, and paying close attention to detail.

Responsibilities:
  • Assists Project Managers with:
    • Project requirements and submittals.
    • Follow up calls for project statuses.
    • Perform due diligence and create checklists.
    • Prepare municipality documents for submission of filings, permits, objections, variances, etc
    • Prepare submittal packages.
    • Prepares transmittals of municipality approval packages for issuance to contractors, clients, or other persons as specified by Senior PM/PM
    • Reviews all new job folders and gathers all necessary information required for production of forms.
    • Submit projects over the counter (if needed).
    • Keep track of changes in the project progress
    • Update spreadsheets regularly with project status
    • East Coast only: Coordinate the archiving of municipality approvals of paperwork or drawings with Metro Data Corp.
  • Maintains and distributes meeting minutes for the Project and plan-check meetings.
  • Coordinates with the Senior PM and PM to help plan and coordinate project activities to ensure the attainment of objectives and schedules.
  • Acts as the Senior PM / PM backup and is the backup contact for the client and updates the client on project milestones.
  • Completes project deliverables and ensures quality control.
  • Schedules appointments with Department of Buildings Plan Examiners.
  • Updates WAVE/Asana regarding receivables, project updates, and billing triggers. Follows up on and tracks all paperwork and plans in a timely manner.
  • Adheres to company's standard operating procedures to successfully execute tasks.
  • Notifies PM or SPM of any problems that arise during a project to work towards resolution.
  • Processes applications by generating required paper or electronic submission for issuance and tracking with contractors, clients, and design applicants.
  • Tracks applications on municipal agency portals for filing, permit or sign-off as required.
  • Acts as filing representative as needed.
  • Performs additional duties as needed.

Education and/ or Experience:
  • Bachelor's degree or two years of comparable experience required; experience as a Construction Administrative Assistant or Assistant Project Manager preferred
  • Strong communication skills, both oral and written, are a must as are solid listening skills.
  • Must be a team player with strong initiative, a desire to learn and able to complete tasks independently on a project as directed by manager or Senior Project Manager
  • Degree in Construction Management, Architecture or Engineering is preferred.
  • Must possess strong organizational and problem-solving skills along with the ability to multi-task and work independently.
  • Knowledge of Microsoft software.

Customer Service

Demonstrate flexibility in satisfying customer demands in a high-volume production environment. Maintains the highest levels of customer care while demonstrating a friendly and cooperative attitude either verbally or written communication.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The employee is occasionally required to sit; stoop, kneel, crouch or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Compensation:

Milrose Consultants, LLC is committed to fair and equitable compensation practices. Salary ranges are determined through alignment with market data. Base salary offered is determined by several factors including the candidate's experience, qualifications, and skills.

Annual Salary Range: $62,000.00-$66,000.00 USD

Expected Hours of Work
This is a full-time position who is regularly scheduled to work at least 40 hours per workweek.

Travel
Travel to client site or municipal agency as expected for this position. Associate may be required to attend meetings at the discretion of management and/or if it is project related.
